Introduction

This privacy notice tells you what to expect us to do with your personal information when you contact us or register for our services. We’ll tell you: 

why we are able to process your information what purposes we are processing it for how long we store it for whether there are other recipients of your personal information.

How do we get information

Most of the personal information we process is provided to us directly by you for one of the following reasons: 

• You have registered for 1 or more of our services  
• You have made an enquiry to us
• You have made an information request to us
• You have applied for a job/to volunteer with us

We also receive personal information indirectly in the form of a referral for our services from East Ayrshire Health & Social Care Partnership. 

What information we collect

We will collect an individual’s personal information such as: 

• Name of individuals
• Postal addresses
• Email addresses
• Telephone numbers
…plus any other information relating to individuals that is required to enable the provision of services.

How do we use personal information

Personal information will be used: 

• To aid in the provision of our services
• In the employment/volunteer process

Sharing your information

All personal information will be treated confidentially. An individual’s personal data may be disclosed/shared with East Ayrshire Health & Social Care Partnership where the Partnership are involved with providing care to said individual and/or with the individuals emergency contact/nominated family member. 

Legal Basis To comply with GDPR Helping Hands will process personal data on the legal basis “Legitimate Interests”. This means that Helping Hands must: 

• Be clear from the outset why we are collecting personal data and what we intend to do with it;
• Comply with the documentation obligations to specify our purposes;
• Comply with the transparency obligations to inform individuals about our purposes;
• and Ensure that if we plan to use or disclose personal data for any purpose that is additional to or different from the originally specified purpose, the new use is fair, lawful and transparent.

How do we secure personal data

To comply with the principles of GDPR Helping Hands must ensure that personal data shall be: 

• Processed lawfully, fairly and in a transparent manner in relation to individuals;
• Collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes;
• Further processing for statistical purposes shall not be considered to be incompatible with the initial purposes;
• Adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;
• Accurate and where necessary, kept up to date;
• Kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data was collected;
• Processed in a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures. 

How long do we keep your personal data for?

Personal data will be kept for only as long as required for the provision of services or 6 months from the cessation of services to an individual. 

Your rights in relation to personal data

Under the GDPR you have the legal right to: 

• Access your personal information; 
• Correction and deletion of your information; 
• Data portability; 
• Restriction of processing and objection; 
• Lodging a complaint with the Information Commissioner’s Office/East Ayrshire Health & Social Care Partnership.
